Just this afternoon, Corey made arrangements for an official hotel for the Maxus weekend. This hotel meets several of our requirements including, free Wifi, hotel bar, restaurant, conference room access, and discounted rates. It also needs to be in a clean and safe part of town.

Well, I must say that Corey has once again greatly exceeded our expectations!

http://www.ichotelsgroup.com/h/d/hi/...elcome?start=1

Location: Waldorf, MD
Negotiated Rate: $84/night (King or Dbl) (Normal rate is $124.95/night)

We have conference room access with equipment (DVD, Projectors, Marker Board, etc). They have 6 rooms to choose from.

Other notables worth mentioning:
  • Free Wifi Internet inside each room
  • MORE than enough parking
  • 23 miles from MIR
  • Very nice mall with theater directly across the street
  • All guest rooms renovated in 2006

Corey called Aaron and I with the good news yesterday, right on the heels of the MIR news. So things are really coming together.

We do want input from you all on when we should release this information (i.e. as in now before the holidays, or right after)

My thought is we get a few more things together and have a release on
New Years. We can have someone write an ad for the thing, digital do a flyer and we can post it on the fron page of the org and the general forum on the 1st.

that's a good idea.

Does the hotel have enough rooms to support the potential # of people coming? Just wondering.

What Redmax said.

Get all your ducks in a row, THEN post. It's better than everyone else trying to run the show for you and trying to tell you what you should be doing. been there, done that.

Yeah. I like having all our ducks in a row before we notify the public. I really don't want to say one thing to the public and then later down the road, find out that we have to change things. That's how people get confused.

And yes, I think it's better to just tell people what's going to happen instead of giving them options. Be clear with everything right from the beginning to keep the misinformation to a minimum.

The hotel has 190 rooms available. Most of them would be available as long as people book far enough in advance. I'm sure they will try to have one section of rooms blocked off for us, but right now, they don't know how many rooms to set aside. Corey just guessed that we'll need 40 rooms and told them that. But we can get more if it's advance notice.

I'm thinking once we do make the announcement with all the specific details, I want to start a role call in the southeast forum to get into peoples heads now. The early the better I think and the bigger the crew we have to ride together the better.

For sure! We will all have a full share in promoting this event in all the Maxima related forums on the internet just as soon as we have all the official information neatly compiled.

I have talked with gtr_rider and he agreed to endorse Maxus 09 with VQpower.com and SFMG forum. I'd love to see some South Florida guys drive the 16 hours to attend. We also need someone promoting this with the Atlanta and Chicago guys. Do you know anybody that can help us with that?

Redmaxpa007, Jess, Choiiiiiii, and mattyblacc all come to mind for the Atlanta area. I'm already planning to meet up with Jeff(redmax) in SC and continuing our trip from there.

As for Chicago I'm at a loss don't know many people there

On friday I went to the holiday inn in waldorf and signed the contract for the hotel. The rooms are pretty nice , they have all been updated within the last 2 months. also the Damons is big enough for at least 600 people. which is great! I am working out a food and drink special with the manager. Some of the rooms have a fridge and a microwave so people must request a room with the before mentioned if they want a room equipped with them.

Do the rooms cost more with the fridge and microwave?

Bobbie called the hotel late last week and they said they already have 7 reservations. As soon we hit 10 reservations, the negotiated rate takes effect and I can edit the website. The website mentions that the rate may be $124.95 until 10 reservations are made.

If you haven't got your room yet, please do so now.

I have had more than one person ask me about if there is camping in the area. I would like to scope out a nice campground to recommend to people. We can also add this information on our website. It may be best if the campground was in the La Plata or Waldorf area.

If anybody has any recommendations, please post here. Thanks.

Awesome! I went ahead and got 3 nights myself since I will probably not want to drive back to NC Sunday evening. Sunday will be a VERY busy day for me since I will have all my products set up to show off.

The drive back from the MD NWP Meet was painful!!! I don't want to do that again.

Question... did the hotel reservation agent give you the SLIGHTEST hint about the normal rate being $124.95? I have been talking with a couple other people that booked their room under "MAXUS" and they were told $84/night from the beginning. If that is the case, I will remove the $124.95 talk from the website.

Thanks.

She did not say anything about 124.95. She said I have you booked for two nights at $84 + taxes. I did make sure that I told them I was staying there for MAXUS.

Great, thank you. I believe we now have over 10 reservations anyway. I have removed the talk about the retail price being $124.95 to minimize confusion.

Were you able to do it on the website?

Everybody so far has been making their reservations by calling the hotel. It's the only way I trust. I like actually speaking to a real person to make sure there isn't a problem with my reservation, which is a negotiated rate. So things can get a little mixed up sometimes.

Just so everyone knows, the Hotel will be the starting point Sunday morning for the scenic crusie then ending at Gilbert Run Park for the BBQ and awards ceremony. Watch for the scenic cruise thread soon!!!
